Partners & Vendors

The network behind every event we produce.

TIH Signature Experiences works with a curated network of hotels, venues, caterers, transportation providers, AV and production teams, and hospitality specialists across Dallas–Fort Worth, Austin, Houston, and San Antonio. Here's what we require from every vendor, what you can expect from us, and how to apply.

The Short Answer

How does our vendor network work?

We design and oversee. Vendors execute. On every full-production engagement, we control vendor selection, contracting, payment, scheduling, and on-site coordination. That's exactly why our clients hire us.

For you, it means one coordinating firm on the other side of the table: one scope, one contact, one payment path, and a client who already knows what to expect before you arrive.

  • A written scope of work and a signed contract before any work begins
  • One named point of contact for the life of the event
  • Complete, accurate manifests, rooming lists, specifications, and run of show
  • Payment on the schedule we agreed, with clear invoicing
  • No verbal scope changes, from either side
Categories

Who do we partner with?

Four categories carry most of our production, and each one has requirements of its own on top of the standards every vendor meets. We also work with floral and design studios, security teams, and on-site medical providers.

01

Hotels, resorts, and venues

We are your client. Group bookings, meeting space, design, payment, and planning run directly through us, and we manage client expectations and change requests so your team doesn't have to. You receive complete, accurate rooming lists and event specifications.

VIP arrivals, executive floors, and room blocks stay under direct property relationships. We don't route VIP guests through third-party booking platforms, because a platform can't protect the recognition and upgrades your property delivers. We keep preferred relationships with properties that deliver consistent quality, and we're open to formal referral agreements.

02

Transportation

We work with licensed, professional transportation providers who carry commercial auto coverage, meet DOT requirements where they apply, and put professional drivers behind the wheel. We provide detailed manifests, itineraries, and on-site contacts for every movement.

Every transportation agreement spells out cancellation terms, overtime rates, and gratuity policy in advance, so nothing gets negotiated at the curb.

03

Catering and beverage

Menus built around the event, the guest profile, and every dietary requirement, with tastings and client approval before service. Every food and beverage moment is held to a five-star property standard.

Your service team is briefed on the event's brand standard before doors open, and dietary needs are tracked from the RSVP to the plate. Vendors serving alcohol carry the licensing and coverage that service requires.

04

AV, production, photography, and entertainment

Stage, lighting, sound, projection, livestream, and technical rehearsals. Photography and videography teams briefed on a shot list before the event. Musicians, performers, and immersive experiences booked to fit the program, never the other way around.

Creative work product is assigned in the contract, and confidentiality agreements are executed wherever the event calls for them.

Standards

What does every vendor need?

These apply to every vendor in every category. They aren't negotiable, and they're the same whether the event is in Austin or anywhere else in the United States.

Licensed and insured

A verified business license and general liability coverage of at least $1M per occurrence and $1M aggregate. Transportation carries commercial auto. Vendors with on-site labor carry workers' compensation. We verify every certificate before you work an event.

Proven in production

At least three years in business for the production-critical categories: AV, catering, security, and transportation. Those are the vendors an event can't run without.

Verified references

Three references from prior engagements at comparable scale. We contact them before we contract you.

Transparent pricing

Itemized quotes. No hidden fees. No clauses that let pricing climb on its own after the contract is signed.

Brand fit

A portfolio and client list that already reflect a luxury standard. Our clients' guests notice the difference, and so do we.

Everything in writing

Written scope, written changes, written approvals. Vendors don't communicate directly with our clients unless we've authorized it in writing.

Contracts

What goes into every vendor contract?

Our leadership spent 23 years underwriting corporate risk. We read every vendor contract before signature, and these are the terms we look for.

Scope and payment

Deliverables listed, not implied. Payment terms tied to the production schedule. We don't sign deposit structures over 50% before deliverables begin.

Coverage and liability

A current certificate of insurance. Indemnification that doesn't shift liability onto us or our client without reciprocity. A limitation of liability that doesn't unfairly cap recovery for negligence.

Cancellation and continuity

Force majeure with defined triggers and refund or credit terms, a documented cancellation schedule, and no exclusivity terms that block a backup vendor. Every critical vendor on our events has a named backup.

Our Side

What can you expect from us?

Standards run both ways. Here's what every vendor and partner gets from us.

  • One contract, one contact, and one professional team managing every client touchpoint
  • A client whose expectations are set before you arrive
  • Payment on the agreed schedule, with clear invoicing and documentation
  • Timely, documented communication, so you always know the status and the next step
  • An insured coordinating firm, with a certificate available on request for any contracted event
  • Priority consideration on future engagements once you've delivered to our standard
Beyond Vendors

Do we work with other firms?

Yes. Some of our most useful relationships aren't vendor relationships at all.

Agencies and experiential teams

Sports, entertainment, sponsorship, and brand activation agencies producing hospitality programs in Texas. We bring destination knowledge and insurance-grade risk review, as an advisor to your team or as the production partner on the ground.

Firms outside our scope

Wedding and social event planners, party companies, and firms that produce outside the United States. We send that work elsewhere, and we want to know who does it well.

Properties and destinations

Hotels, resorts, ranches, and private venues open to a formal referral agreement with a firm that protects their standard as closely as its own.

How to Apply

How do you join the network?

Four steps, from the first introduction to preferred status.

01

Send an introduction

Email contact@tihindustries.com with your company name, your category, the markets you serve, your portfolio, a current certificate of insurance, and three references from engagements at comparable scale.

02

Verification

We verify your license, your coverage, your references, and your portfolio against the standards on this page. Nothing moves forward on an unverified certificate.

03

First engagement

When an engagement fits your category and market, you receive a written scope of work and a signed contract before any work begins, plus a single point of contact on our team.

04

Preferred status

Vendors who deliver at our standard join our preferred list for their category and market, and they receive priority consideration on future engagements. Performance is rated after every event, and a safety failure ends the relationship the first time.

Common Questions

Questions from vendors

What insurance do vendors need to carry?

General liability of at least $1M per occurrence and $1M aggregate, appropriate to your services. Transportation providers carry commercial auto coverage, and vendors with on-site labor carry workers' compensation. We verify every certificate before you work an event.

Will we work directly with your client?

We are your client. Scope, changes, and approvals run through our team, and vendors don't communicate directly with the client unless we've authorized it in writing. When a client brings a vendor of their own, such as an existing photographer, that vendor is documented as client-managed and we coordinate with them.

How do vendors get paid?

On the schedule in your contract. In full production, our client pays us and we pay you, so you invoice one coordinating firm with clear documentation. We don't sign deposit structures over 50% before deliverables begin.

We're a newer business. Can we still apply?

It depends on the category. AV, catering, security, and transportation require at least three years in business. Other categories are evaluated on license, coverage, references, and portfolio.

Do you work with vendors outside Texas?

Yes, when an engagement takes us there. We serve the United States, and outside our four Texas markets we build the vendor bench on the ground before we contract anything. We don't produce internationally.

Do you book hotels through third-party platforms?

Not for VIP guests. Arrivals, executive floors, and room blocks stay under direct property relationships, so recognition, loyalty status, and upgrades are protected.

How do we request your certificate of insurance?

Email contact@tihindustries.com. TIH Industries LLC maintains comprehensive general liability insurance, and a certificate is available on request for any contracted event.
