How We Work

One contract. One contact. One team.

TIH Signature Experiences runs every engagement the same way: a discovery call, a custom proposal, a signed agreement, a kickoff, phased production, and a performance report after the event closes. You always know what's happening, who owns it, and what comes next. Here's the whole process, start to finish.

The Process

How does an engagement start?

Six steps from the first conversation to the first day of production. No step is skipped, and nothing moves forward without your sign-off.

01

Discovery call

Thirty minutes, no charge. Bring the date, the guest count, the budget, and the outcome you need. We'll tell you on that call whether we're the right firm and which engagement fits. If we aren't, we'll say so and point you somewhere better.

02

Custom proposal

Delivered within five business days. Executive summary, statement of work, phase-by-phase deliverables, a timeline with milestone gates, the revenue architecture summary for full production, and a flat investment with a phased payment schedule. No hourly billing anywhere in it.

03

Proposal review

We walk you through it live, answer scope and timeline questions, and adjust the shape of the work where it needs adjusting. Investment scales with complexity, not negotiation.

04

Signed engagement

Executed by electronic signature. The production calendar locks, vendor outreach opens, and your onboarding packet arrives within 48 hours.

05

Kickoff

Within seven days of signing. Ninety minutes with your decision-maker, your project lead, and your finance contact. We leave the room with the objective, the audience, the date, and the communication cadence locked.

06

Production begins

Advisory starts building your playbook the day the proposal is signed. Full production moves into the four phases below.

Full Production

The four phases

The phases overlap by design. Pre-production and revenue architecture run in parallel from kickoff. Production and revenue architecture both extend into the live event. Post-production starts the day after it closes.

Phase 01 60 to 120 days before the event
01

Pre-production

Sixty to one hundred twenty days before the event, beginning the day after kickoff.

  • Event concept, format, and the plan for how your stakeholders get updates
  • Guest curation, tiered invitations, and RSVP tracking with dietary and accessibility needs captured
  • The full marketing campaign, built and deployed by our team
  • Venue long list, short list, site visits, negotiation, and contract execution
  • Sponsor packages and outreach, speaker booking, ticket tiers and pricing
  • Pre-event risk review: every contract checked, every certificate verified, contingencies documented
02

Production

Event days, plus the load-in and load-out window around them.

  • Full event design and creative direction, with a final walkthrough fourteen days out
  • A master run of show, minute by minute, from load-in to load-out
  • Vendor coordination, speaker and VIP management, and real-time problem resolution on site
  • AV, staging, lighting, entertainment, and technical rehearsals
  • Catering and hospitality delivered at a five-star property standard
  • Photography and videography working a shot list we briefed before doors opened
Phase 03 Kickoff designed from kickoff, executed live
03

Revenue architecture

Designed from kickoff, executed live during the event. This is the phase most firms don't have.

  • Investor presentation or pitch deck produced to investor-grade standard, with delivery coaching
  • A revenue model covering tickets, sponsors, capital raised, deals closed, and post-event conversion
  • Structured networking: who needs to meet whom, when, and in what setting
  • On-site closing environments with the sales materials in the room
  • High-intent attendees identified and routed for follow-up before they leave
  • Deals in motion tracked live and carried into the post-event window
Phase 04 30 to 60 days after the event closes
04

Post-production

Begins the day after the event closes and completes within 30 to 60 days.

  • Edited photo gallery, highlight reel, and social cutdowns delivered within 30 days
  • Post-event email sequences by attendee tier: thank-you, recap, next step
  • Clean, segmented attendee data delivered to your CRM with high-intent leads flagged
  • Revenue performance report against the target, delivered within 60 days
  • Recommendations for the next event cycle
Advisory

What does advisory look like?

Advisory starts as soon as the proposal is signed and delivers in 30 to 90 days. Expedited delivery is available by request.

Weeks 1 to 2

A two-hour strategy intensive with your decision-makers. We leave with the event objective, the success metrics, the audience definition, and stakeholder alignment documented.

Weeks 2 to 8

The working drafts: revenue architecture blueprint, destination and venue strategy with a fit-tested short list, hour-by-hour guest experience map, risk framework, and production timeline.

Weeks 8 to 12

The consolidated playbook, branded and presentation-ready, plus a ninety-minute handoff session walking your team or outside producer through every page of it.

Standards

What can you expect from us?

Our leadership in the room

Executive leadership is on every site visit and on the floor on event day. You will never be handed to a coordinator you've never met the week of.

Every vendor under one roof

You pay one invoice. We contract, brief, and manage every vendor, and nothing changes scope on a phone call. Every change is written, approved, and signed before additional work begins.

Nothing left to chance

Every contract reviewed before signature. Every certificate verified. Weather, medical, and security protocols documented. A named backup for every critical vendor.

Your Side

What do we need from you?

The process works because both sides hold to it. Here is what we ask of every client before we start.

  • A decision-maker who can sign, and a project lead who can answer
  • A budget you're willing to say out loud on the first call
  • For full production, an event date at least 180 days out
  • Approvals inside the windows on the production calendar
  • One firm managing the vendors, so the standard holds across the whole event
Full Production 180 days out, at minimum
Common Questions

Questions about the process

How long does the whole process take?

Your proposal arrives within five business days of the discovery call, and kickoff happens within seven days of signing. Advisory delivers in 30 to 90 days from signature. Full production needs an event date at least 180 days out, which gives us the runway to secure the venue, contract the vendors, and build demand.

How do payments work?

Every engagement is a flat investment with a phased payment schedule tied to milestones, itemized in the proposal. There is no hourly billing. In full production, vendor costs are built into the engagement, so you pay one invoice and we pay the vendors.

What if we need to change scope or cancel?

Scope changes are handled by written change order with the revised scope, timeline, and investment, approved before additional work begins. Cancellation terms are documented in every engagement letter. The closer you get to the event date, the more of the vendor commitments become non-recoverable, and the letter spells that out in advance.

Who is our point of contact?

One named contact for the life of the engagement, and one contract. Our executive leadership is on every site visit and on the floor on event day.

Do you sign non-disclosure agreements?

Yes. For private groups and family offices, an NDA comes before any specifics get discussed. For every event, we execute confidentiality agreements with vendors, speakers, and high-profile guests wherever the sensitivity of the event calls for it.

Next Step

Bring the date, the headcount, and the budget.

Thirty minutes, no charge. We'll tell you on that call whether we're the right firm, and if we're not, we'll tell you who is.
